PRIVACY NOTICE 

Muova Digital learning space -Moodle platform 

Data protection means the protection of personal data and individuals’ privacy during the processing of personal data. Data protection covers all the operations at Vaasa University of Applied Sciences (VAMK) involving the processing of personal data. Whenever processing personal data, we comply with the EU’s General Data Protection Regulation (GDPR), national legislation, and the regulations and guidelines of public officials.  

This is a privacy notice about the processing of personal data in Muova Digital learning space -Moodle platform. 

NAME OF THE REGISTER

CONTROLLER OF THE DATA

The controller decides upon and is responsible for the processing of personal data for the purpose stated in this notice, i.e. is the controller for this data. 

PURPOSE AND LEGAL BASIS OF THE PROCESSING OF PERSONAL DATA  

When registering to the Muova Digital learning space -Moodle platform, the user (i.e. data subject) enters their own information into the platform.  

Personal data will be processed on the basis of the data subject’s consent to fulfil the data controller’s obligations for the purpose of managing Muova Digital learning space -Moodle platform, service provision, marketing, reporting, and other communications purposes. 

Register data is used to manage the customer relationship of the Muova Digital learning space -Moodle platform: to identify users, to verify user rights and to complete training. If required, the information can also be used for investigating and protecting against any possible misuse. In addition, registered users may receive inquiries related to the use and content of the Muova Digital learning space -Moodle platform. 

Personal data will only be used for pre-defined purposes such as: 

  • Organising the training programs in Muova Digital learning space -Moodle platform 

  • Announcements and communication related to training programs in Muova Digital learning space -Moodle platform 

  • Coordination of training materials, surveys and feedback 

  • Meeting the reporting obligations of training programs as well as EU obligations  

DATA CONTENT OF THE REGISTER  

The user provides all personal information to the Muova Digital learning space -Moodle platform. User name, password, e-mail address, first name, surname, city/town and country are stored in the Moodle platform.   

When studying in the environment, it’s possible for the user to store additional personal information in the platform making it visible to other users. VAMK/Muova as controller of the register is not responsible for any such additional personal data that the user voluntarily makes available to other users.  

REGULAR DISCLOSURE OF DATA  

The information is used for the implementation and reporting of the training programs. The personal data of the register will be disclosed, if necessary, as required and permitted by the applicable legislation, only to those who have the right to receive information from the register.  

STORAGE OF DATA  

The personal data collected in the register will be stored only as long and to the extent necessary. The data is stored in accordance with the storage period specified by law and the funder of the training programme. The data is stored on secured network drives of the project partners. 

TRANSFER AND DISCLOSURE OF PERSONAL DATA OUTSIDE THE EU OR EEA  

In principle, the data in the register is not transferred or disclosed outside the EU or EEA. 

SECURITY  

We take data security seriously. We implement appropriate technical and organizational measures to protect your personal data against unauthorized and unlawful access and processing. 

The information is stored in the Muova Digital learning space -Moodle platform. The information is technically protected so that only system administrators have access to it. The information in the system can be accessed and used only by the personnel working in the VAMK University of applied sciences, Design Centre MUOVA, who are entitled to it by virtue of their work. The computer systems used to store data are subject to continuous maintenance to ensure the system's data security.  

RIGHTS OF DATA SUBJECTS 

Muova Digital learning space -Moodle platform user can check and correct their own data after logging in from the Moodle user profile. 

Data subjects have the right to: 

  • request from the controller and/or organiser access to their personal data and to check such data; Muova Digital learning space -Moodle platform user can always check their own data after logging in the Muova Digital learning space -Moodle platform. Personal data provided by the user can be found in Moodle user profile. 

  • ask for the rectification of incorrect personal data. In such a case, the request must specify what information is incorrect, and why and how it should be changed. The controller must rectify the mistake without undue delay. The request must be submitted to the controller in writing. Muova Digital learning space -Moodle platform user can always correct their own data after logging in. Personal data provided by the user can be found in Moodle user profile. 

  • restrict processing. If the data subject has indicated their data to be incorrect, they have the right to request that the processing be restricted until the accuracy of the data is verified;  

  • withdraw consent. When the processing of personal data is based on consent, the data subject has the right to withdraw their consent at any time. After that the personal data will not be processed unless there is some other legal basis for doing so. Muova Digital learning space -Moodle platform user can delete their own personal profile from the Moodle platform.  

  • request erasure of personal data. The data subject has the right to have their personal data erased. This right does not apply to the personal data that VAMK/Muova needs in order to perform its responsibilities. Muova Digital learning space -Moodle platform user can delete their personal profile from the Moodle platform.  

  • lodge a complaint to the supervisory authority if their personal data have not been processed appropriately. The Data Protection Ombudsman's contact details can be found at www.tietosuoja.fi  

  • Requests regarding the exercise of the data subject's rights are addressed to the data protection officer of the data controller. 

COOKIES 

The Muova Digital learning space -Moodle platform does not use cookies that store user data.
